How do I connect Author with other online apps?
The easiest way to connect Author with other applications is through services such as Zapier, Microsoft Power Automate or IFTTT that allow you to register, configure and connect events generated by one platform (in this case Author) with another through Webhooks and thus automate tasks and workflows.
What are webhooks?
Webhooks are a simple system that allows you to communicate in real time to two applications, so the first one notifies the second when a certain event occurs, so that it performs some action.
In an application (in this case Author) we define which events we want to be considered (for example, "When a project is en-en suite", "When you create an authoring unit", "When a drive is published"....) and using specific applications, we decide what we want to happen to that event.
For example, when a new project is enjoyed, a new card is added to a Trello dashboard.
Or that when you create an authoring unit, a new row is added to a Google Sheets, MS Excel (online) file, or send a message to a Slack channel, and so on.
Or... Whatever you want!
What do I need to create a webhook?
First, you'll need to turn on the events you're interested in in Author to build a webhook.
Next, you'll need to access an app to create these automations, such as Zapier. In this application you will be able to connect with Author and decide which actions will be executed when one of the activated effects occurs.
How do I decide which events do I want to trigger in Author?
As administrator, go to the "Settings" area and enter "Webhooks".
Note that you have several events available:
- Related to project management, i.e. events when a project is denies, modified, or deseded.
- Related to authoring units, events about the discharge, modification or removal of authoring units.
- Related to the publication of authorship units.
To trigger an event you need to:
- Indicate the URL to which event information should be sent, when it fires. (Following the example, we will put the URL provided by Zapier).
- Select your check box in the "Status" column.
After activating an event, we will always be able to access the list of events that have been executed thereafter using the "Action Log" option.
